How to Recover a Deleted File in Microsoft 365
Accidentally deleted a file? In most cases it's not gone — Microsoft 365 has multiple recovery options built in. DM1 explains each one in plain English, and what to do if self-service recovery doesn't work.

Microsoft 365 stores your files in OneDrive and SharePoint, both of which include built-in recovery features. Whether you deleted the file yourself, it was overwritten by accident, or it simply disappeared, there are several places to look before assuming the file is gone. DM1 walks you through each option — starting with the simplest.
Time matters. Microsoft's recycle bins have retention limits. The sooner you act, the more options you have. If you've deleted something important, stop adding new files and call DM1 on (08) 6202 6012 if self-service recovery doesn't work.
Recovery Option 1 — The OneDrive or SharePoint Recycle Bin
The first place to check. Any file deleted from OneDrive or SharePoint goes to the Recycle Bin first — where it stays for 93 days before permanent deletion. This is the quickest and simplest recovery method.
OneDrive Recycle Bin
Log in to OneDrive at onedrive.com or through your Microsoft 365 portal. In the left-hand menu, click Recycle Bin. Find your file, right-click it, and select Restore. The file returns to its original location.
SharePoint Recycle Bin
In the SharePoint document library where the file lived, click Recycle Bin in the left-hand menu. Find the file and click Restore. If it's not there, check the Second-stage Recycle Bin — files move there after 90 days.
Second-Stage Recycle Bin
If a file has been in the first-stage Recycle Bin for 90 days without being restored, it moves to the Second-stage Recycle Bin. From SharePoint, go to Site Contents > Recycle Bin > Second-stage Recycle Bin. Files here can still be restored.
Who Emptied the Recycle Bin?
If someone manually emptied the Recycle Bin or the file is past the 93-day limit, the standard Recycle Bin won't help. Move to the next recovery option — version history or DM1 admin recovery.
Recovery Option 2 — Version History
Microsoft 365 automatically saves previous versions of files stored in SharePoint and OneDrive. If a file was overwritten, corrupted, or saved incorrectly, you can restore an earlier version — even if the current version looks fine on the surface.
How to Access Version History
Right-click the file in SharePoint or OneDrive and select Version History. A list of all saved versions appears, with timestamps. Click the version you want to restore and select Restore.
How Far Back Does It Go?
SharePoint and OneDrive retain up to 500 versions of a file. For most businesses, this means months or years of version history — depending on how frequently the file is edited.
Viewing Before Restoring
You can open any previous version before restoring it — so you can confirm it's the right one. DM1 recommends doing this rather than restoring blindly.
What If Version History Is Empty?
Version history only works for files that were previously saved in SharePoint or OneDrive. Files that were stored locally on a PC and never synced to the cloud don't have version history. In this case, contact DM1.
Recovery Option 3 — OneDrive Files Restore
OneDrive includes a bulk restore feature that can roll back your entire OneDrive to a point in time up to 30 days ago. This is useful if a large number of files were deleted or affected at once — for example, after a ransomware attack or accidental mass deletion.
Go to OneDrive Settings
Click the Settings gear icon in OneDrive (online), then select Restore your OneDrive.
Choose a point in time
A graph shows your file activity over the past 30 days. Use the date selector or the activity graph to choose the point in time you want to restore to.
Review and confirm
OneDrive shows you a summary of what will be restored and what will change. Review carefully before confirming — this action affects all files in your OneDrive.
Confirm the restore
Click Restore. Depending on how many files are involved, this may take a few minutes. DM1 recommends contacting us before using this option if you are unsure of the scope.
Recovery Option 4 — DM1 Admin Centre Recovery
If self-service recovery hasn't worked, DM1 has additional recovery tools available through the Microsoft 365 Admin Centre and SharePoint Admin Centre. These are only available to Global Administrators — which DM1 holds for all managed clients.
Deleted User Account Recovery
When a user account is deleted from Microsoft 365, their OneDrive files are retained for 30 days in a recoverable state. DM1 can access and restore these files within that window — after which they are permanently deleted.
SharePoint Site Collection Recycle Bin
SharePoint site collections have their own admin-level recycle bin. DM1 can recover files from here that are no longer visible in the standard SharePoint interface — including files deleted by other users.
Microsoft Support Escalation
For data loss events beyond Microsoft's standard retention periods, DM1 can escalate a recovery request directly to Microsoft Support. While recovery outside standard windows is not guaranteed, it is sometimes possible for recent deletions.
Backup and Restore (Business Premium)
For clients on Microsoft 365 Business Premium with Microsoft 365 Backup configured, DM1 can restore files from a backup snapshot — providing a recovery option independent of recycle bins and version history.

Professional Services Firm — Perth CBD
The problem: A staff member accidentally deleted a SharePoint document library containing three years of client correspondence. The deletion was noticed two days later. The business assumed the files were gone permanently.
What DM1 found: DM1 found the document library was still in the SharePoint site collection's second-stage recycle bin. The 93-day retention window had not expired. All files were intact.
The outcome: DM1 restored the entire document library from the second-stage recycle bin within 20 minutes. All three years of client correspondence was recovered. The business had no idea this recovery option existed.

The problem: A practice manager reported that a Word document containing patient intake templates had been overwritten by a staff member who saved a blank version in its place. The original had taken weeks to create.
What DM1 found: DM1 checked the file's version history in SharePoint. The document had 47 saved versions going back 14 months. The correct version — from two days before the overwrite — was clearly identifiable by its timestamp and file size.
