Most Perth small businesses end up with a collection of software tools that were each chosen in isolation — one for accounting, one for communication, one for project management — with no thought given to how they connect, how they are secured, or whether they are the right fit at all. Included in Microsoft 365 Business Premium. Monitors every managed device for suspicious activity, blocks known threats, and alerts DM1 when something needs attention. Password management

A business password manager

A cloud phone system routes calls over your internet connection, supports multiple handsets and mobile devices, and integrates with Microsoft Teams. DM1 sets up and manages business phone systems including handsets, call routing, and number porting — so you are not dealing with multiple vendors.

What DM1 Recommends Avoiding

These are the patterns DM1 sees most often in new client environments that cause problems. They are not always obvious risks — which is why they persist.

Consumer cloud storage used for business files

Free consumer versions of cloud storage services — personal Dropbox, iCloud, personal Google Drive — are not designed for business use. Files stored in personal accounts are outside your control if a staff member leaves, are not covered by your business’s security policies, and may store data in jurisdictions that create compliance issues. Microsoft OneDrive and SharePoint, included in Microsoft 365, are the correct replacement.

Free email services for business communication

Gmail, Hotmail, and other free email services lack the security, compliance, and professional features that business email requires. Emails sent from a free account look unprofessional, cannot be centrally managed if a staff member leaves, and do not support the email authentication settings that prevent your domain being used for fraud.

Software that stores data outside Australia without disclosure

Some software products store data on overseas servers without clearly disclosing this. For businesses that handle personal information about Australian individuals, this can create obligations under the Privacy Act. DM1 checks data residency as part of any software recommendation for clients in regulated industries.

Unlicensed or out-of-support software

Software that is no longer receiving security updates is a known vulnerability. Windows 10 reached end of support in October 2025. Any device still running it is no longer receiving security patches and should be treated as a risk. DM1 identifies end-of-support software as part of the standard onboarding review.

How DM1 Approaches Software Recommendations

DM1 does not maintain a fixed list of approved products and recommend them regardless of fit. Every recommendation starts with understanding your business.

Questions DM1 asks before recommending anything

What problem are you actually trying to solve? What are you currently using, and why is it not working? How many staff need to use it, and on what devices? Does it need to integrate with Microsoft 365 or any other existing tools? Is there a compliance or data residency requirement in your industry?

What DM1 will not do

DM1 will not recommend a product we cannot implement and support. We will not recommend an upgrade when your existing tool does the job. We will not push a particular vendor because of a commercial relationship. And we will not leave you to figure out implementation on your own after making a recommendation.

What We Found on Day One

Seven staff using personal Dropbox accounts to share client files

When a Perth legal firm moved to DM1, our standard onboarding review found that seven staff members were using personal Dropbox accounts to share client documents with each other and with external parties. The files were stored on overseas servers, outside the firm’s control, and accessible to personal email addresses not managed by the business. Their previous IT provider had not identified this. DM1 migrated all files to SharePoint, disabled access to the personal accounts, and briefed staff on the correct file sharing process.

When a Perth healthcare business moved to DM1, our standard licence audit found the business was paying separately for a video conferencing tool, a cloud storage service, an email archiving product, and an antivirus application — all of which are included in Microsoft 365 Business Premium, which the business already held. Three computers still running Windows 10 with no security updates since October 2025

When a Perth manufacturing business moved to DM1, our standard device audit found three computers running Windows 10, which reached end of support in October 2025 and is no longer receiving security patches. The devices were being used daily for order management and supplier communication. Their previous IT provider had not flagged the end-of-support deadline or begun a replacement programme.
