What Is Microsoft Entra ID?

Microsoft Entra ID is the identity and access management service that powers every Microsoft 365 account. Formerly called Azure Active Directory (Azure AD), it was rebranded as Microsoft Entra ID in 2023. If your business uses Microsoft 365, you're already using Microsoft Entra ID — whether you know it or not.

In plain English: Entra ID is what decides who your staff are, what they can access, and under what conditions. Every time a staff member signs into Microsoft 365, Teams, SharePoint, or any other Microsoft service, Entra ID is the service authenticating them and deciding what they can see.

What Does Microsoft Entra ID Do for Small Businesses?

"User accounts and identity management"

Entra ID stores and manages all user accounts in your Microsoft 365 tenant. Creating, modifying and deleting users all happens in Entra ID.

"Single sign-on (SSO)"

Staff sign in once and access all Microsoft 365 apps — Outlook, Teams, SharePoint, OneDrive — without logging in separately to each one.

"Multi-factor authentication (MFA)"

MFA in Microsoft 365 is delivered through Entra ID. Enabling MFA means every sign-in requires a second factor — a phone prompt, authenticator code or FIDO2 key.

"Conditional Access policies"

The Conditional Access feature that controls what devices, locations and conditions allow sign-in is part of Microsoft Entra ID.

"Guest user management"

External collaborators and contractors can be added as guest users in Entra ID with limited, controlled access to specific Teams and SharePoint sites.

"Application access control"

Every third-party app that connects to your Microsoft 365 tenant does so through Entra ID.

Entra ID for Perth Businesses — What DM1 Manages

1

User Lifecycle Management

DM1 creates, configures and disables Entra ID accounts as part of the standard onboarding and offboarding process. No access is left active after a staff member leaves.

2

MFA and Conditional Access

DM1 configures MFA and Conditional Access policies in Entra ID appropriate for your business — balancing security with usability for your team.

3

Guest and App Access Auditing

DM1 regularly reviews guest user accounts and third-party app permissions in Entra ID, removing stale access and flagging unusual application permissions.

What DM1 Finds at New Client Onboarding

DISCOVERED DURING DM1 NEW CLIENT ONBOARDING

17 guest user accounts — most from departed contractors

A Perth professional services firm had 17 guest accounts in their Entra ID tenant, mostly from contractors who had finished projects months or years earlier. DM1 reviewed each account, removed inactive guests, and implemented a guest account review process.

DISCOVERED DURING DM1 NEW CLIENT ONBOARDING

Third-party app with admin-level permissions — granted by a staff member

A Perth business had a staff member grant a productivity app admin-level permissions to the entire Microsoft 365 tenant. DM1 found the permission in the Entra ID app registrations list and revoked it.

DISCOVERED DURING DM1 NEW CLIENT ONBOARDING

Break-glass account was the owner's regular email address

A Perth business had their only Global Admin account tied to the owner's regular work email. DM1 created a dedicated break-glass admin account with a separate email address, strong credentials, and restricted access.
