Microsoft 365 Features You're Already Paying For

Most Perth businesses use Microsoft 365 for email, Word and Teams — about 20% of what's included. DM1 finds and activates the tools sitting unused in your subscription.

See What You're Missing

You're Paying the Same Whether You Use It or Not

A Microsoft 365 Business Basic or Business Standard licence includes a range of tools beyond email and Office apps. Most businesses never activate them — not because they don't need them, but because no-one ever showed them they were there. DM1 runs a licence value review as part of every new client onboarding to find what's available and what makes sense for your business.

DM1 has found Perth businesses paying for separate booking, form, project management and file-sharing tools — all of which were already included in their Microsoft 365 subscription.

What's Already in Your Microsoft 365 Subscription

These tools are included in Microsoft 365 Business Basic, Standard and Premium. If you're paying for any of these separately, DM1 can help you consolidate.

Microsoft Bookings — Online Appointment Scheduling

A booking page your clients can use to schedule appointments directly into your calendar. Works with any device, sends automatic reminders, and integrates with Outlook. No third-party booking app required.

Microsoft Forms — Online Forms and Surveys

Create forms, surveys, quizzes and registrations in minutes. Responses go straight into Excel or a SharePoint list. Used for client intake, staff feedback, event registration and more.

Microsoft Planner — Team Task Management

A visual task board for tracking what your team is working on. Assign tasks, set due dates, track progress — without a separate project management subscription.

Microsoft Whiteboard — Digital Collaboration Board

An infinite digital whiteboard for team brainstorming and planning. Works in Teams meetings and on any device. Replaces physical whiteboards and third-party collaboration tools.

OneDrive Personal Vault — Extra-Secure File Storage

A protected folder inside OneDrive that requires two-factor authentication to access. Ideal for sensitive documents — contracts, financial records, ID documents — that should be separated from general file storage.

Microsoft Lists in Teams — Custom Business Tracking

Build custom tracking lists inside Teams — inventory, project registers, client trackers, asset lists. Replaces basic spreadsheets that multiple people edit at once and corrupt each other.

Microsoft Stream — Internal Video Storage

Upload, store and share training videos and recordings inside your organisation. Replaces YouTube for internal content. Meeting recordings from Teams also land here automatically.

Microsoft Viva Insights — Work Habit Analytics

Provides individuals and managers with data on time spent in meetings, focused work, and collaboration patterns. Useful for understanding how your team actually spends their working day.

What DM1 Finds Perth Businesses Paying for Unnecessarily

When DM1 takes over a new client's IT, we almost always find subscription costs that can be eliminated because the function is already covered by Microsoft 365:

Booking apps at $30–$90/month

Calendly, Acuity, SimplyBook, Setmore — all widely used, all unnecessary for businesses already on Microsoft 365. Microsoft Bookings covers the same use case and connects directly to your Outlook calendar.

Form tools at $20–$50/month

Typeform, JotForm, Wufoo, SurveyMonkey — Microsoft Forms replaces all of these for standard business use cases. Responses feed directly into Excel with no export step required.

Project management apps at $15–$30/user/month

Trello, Asana, Monday, Basecamp — for most Perth SMBs under 30 users, Microsoft Planner covers the basics without an additional per-user cost.

Dropbox or Box at $15–$25/user/month

SharePoint and OneDrive are already included. DM1 regularly migrates clients off paid file storage subscriptions to the storage they're already paying for.

Internal video hosting

Vimeo for Business, Loom — Teams meeting recordings and internal training videos can be stored and shared in Microsoft Stream at no extra cost.

Separate list or database tools

Airtable, Smartsheet — Microsoft Lists handles most equivalent use cases for SMBs and sits natively inside Teams, where your staff are already working.

How DM1 Activates Your Unused Microsoft 365 Tools

DM1 doesn't just point you to features and leave you to figure them out. We configure, set up and hand over working tools your team can use from day one.

1

Review your current Microsoft 365 subscription

DM1 checks which licence tier you're on, what's included, and what you're currently paying for outside Microsoft 365 that duplicates included features.

2

Map unused tools to your business needs

Not every tool is right for every business. DM1 identifies which included features would actually add value for your team — and skips the ones that won't.

3

Configure each tool for your business

DM1 sets up Bookings pages, Forms templates, Planner boards and Lists schemas — configured for your business, not a generic out-of-box default.

4

Train your team in plain English

DM1 provides brief, practical training so your staff know how to use each tool from day one. No manuals — just clear, hands-on walkthroughs.

5

Cancel the subscriptions you no longer need

Once DM1 has confirmed the Microsoft 365 tool is working for your business, we advise you on which external subscriptions can be cancelled — and help you calculate the saving.

6

Ongoing support included

For managed services clients, support for all Microsoft 365 tools is included. Questions, changes, new team members — DM1 handles it.

What DM1 Found When New Clients Came On Board

These are real situations discovered during DM1 new client onboarding. Business names are not used.

DISCOVERED DURING DM1 NEW CLIENT ONBOARDING

Allied Health Practice — Perth Northern Suburbs

The problem: The practice was paying $79/month for an online booking platform to manage patient appointments. The receptionist managed two separate systems — the booking app and Outlook — and manually transferred appointment times between them.

What DM1 found: DM1 found the practice was on Microsoft 365 Business Standard. Microsoft Bookings was included and unconfigured. The booking platform had been signed up by the practice manager before IT support was engaged.

The outcome: DM1 configured a Bookings page connected directly to the practitioner's Outlook calendar, with automatic confirmation and reminder emails to patients. The $79/month booking subscription was cancelled. The double-entry process was eliminated.

DISCOVERED DURING DM1 NEW CLIENT ONBOARDING

Legal Firm — Perth CBD

The problem: The firm was using Trello (paid plan, $12.50/user/month) to track client matters across a team of eight. Staff also used a shared Excel spreadsheet as a client register, which was frequently corrupted when multiple people opened it simultaneously.

What DM1 found: DM1 found the firm was on Microsoft 365 Business Premium. Microsoft Planner and Microsoft Lists were both included and unused. The shared spreadsheet problem was a known Microsoft Lists use case.

The outcome: DM1 built a Planner board for matter tracking and a Lists-based client register inside Teams. The Trello subscription ($100/month) was cancelled. The corrupted spreadsheet problem was permanently resolved.

Why Perth Businesses Use DM1 to Get More From Microsoft 365

✓ Authorised Microsoft CSP Partner

DM1 procures and manages Microsoft 365 licences directly. We have full visibility of what's included in your subscription and can advise on whether your current licence tier is right for your business.

✓ We Configure, Not Just Advise

DM1 doesn't hand you a list of features and a help article. We set up the tools, build the templates and hand over working systems your team can use from day one.

✓ We Help You Cancel What You Don't Need

Part of every DM1 engagement is identifying subscriptions that can be eliminated. Most clients save more than DM1's monthly fee in cancelled SaaS subscriptions within the first three months.

✓ Plain English — No Jargon

DM1 explains every tool in terms of what it does for your business, not in Microsoft marketing language. If it won't add value, we say so.

✓ No Unnecessary Upgrades

DM1 doesn't recommend a higher licence tier unless it's genuinely justified. Most Perth SMBs under 30 users are on the right plan — they just aren't using what they're already paying for.

Find Out What's Sitting Unused in Your M365 Subscription

DM1 reviews your Microsoft 365 subscription, identifies unused tools, and configures the ones that add real value for your business — usually recovering more in cancelled subscriptions than the cost of the engagement.
