How to Add Microsoft 365 Email to Outlook
Step-by-step setup for Windows, Mac, iPhone, Android, and browser
Adding Your Work Email to Outlook
Microsoft Outlook is the recommended way to access your Microsoft 365 work email, calendar, and contacts. It works across Windows, Mac, iPhone, Android, and any web browser. Follow the steps below for your device.
If your business has multi-factor authentication (MFA) enabled — which it should — you will need the Microsoft Authenticator app set up on your phone before completing these steps. If you have not done that yet, see our Microsoft Authenticator setup guide first.
What You Need Before You Start
Your Microsoft 365 email address
This is your work email — usually yourname@yourbusiness.com.au. If you are not sure, ask your IT provider.
Your Microsoft 365 password
The password you use to log in to Microsoft 365. If you have forgotten it, your IT provider can reset it.
Outlook installed (for desktop and mobile)
Outlook is included with Microsoft 365. On mobile it is a free download from the App Store or Google Play.
Outlook on Windows
Outlook — Windows
Open Outlook on your Windows PC.
If this is your first time opening Outlook, it will prompt you to add an account automatically — enter your Microsoft 365 email address and click Connect.
If Outlook is already open with another account, go to File → Add Account, enter your Microsoft 365 email address, and click Connect.
Enter your Microsoft 365 password when prompted and click Sign In.
If your organisation uses multi-factor authentication (MFA), approve the sign-in prompt on your phone via the Authenticator app.
Click Done. Your Microsoft 365 email, calendar, and contacts will begin syncing — this may take a few minutes.
💡 If Outlook asks you to choose an account type, select Microsoft 365 or Exchange — not IMAP or POP3. Using IMAP will give you email only, without calendar and contacts.
Outlook on Mac

Open Outlook on your Mac.
If no account is set up, click Add Email Account. If Outlook already has an account, go to Tools → Accounts → + (Add Account).
Enter your Microsoft 365 email address and click Continue.
Select Sign in with Microsoft when prompted.
Enter your Microsoft 365 password and complete MFA if prompted.
Click Done. Your email, calendar, and contacts will sync.
💡 Make sure you are using the Microsoft 365 version of Outlook for Mac, not the older standalone version. If you are unsure, open Outlook → Help → About Outlook and check the version number.
Outlook on iPhone
Outlook — iPhone
Open the App Store and install Microsoft Outlook if you do not have it. It is free.
Open Outlook and tap Add Account.
Enter your Microsoft 365 email address and tap Add Account.
Enter your password on the Microsoft sign-in screen and tap Sign In.
Approve the MFA prompt if required.
Tap Maybe Later if asked to add another account, then tap Done.
Your email will begin syncing. Tap the inbox to view your messages.
💡 Outlook for iPhone gives you email, calendar, and contacts in one app. It is recommended over the iPhone's built-in Mail app for Microsoft 365 accounts.
Outlook on Android

Open the Google Play Store and install Microsoft Outlook if you do not have it.
Open Outlook and tap Add Account.
Enter your Microsoft 365 email address and tap Continue.
Enter your password and tap Sign In.
Approve the MFA prompt if required.
Tap Done. Your email, calendar, and contacts will sync.
💡 The process is virtually identical to iPhone. If your company has a mobile device management (MDM) policy, Outlook may ask you to set a PIN or allow remote wipe — this is normal for business accounts.
Outlook on the Web
No installation needed — access your email from any browser on any device.
Outlook — Web Browser
Open your browser and go to outlook.office.com.
Click Sign In and enter your Microsoft 365 email address.
Enter your password and approve the MFA prompt if required.
You will land directly in your Outlook inbox. No installation required.
💡 Outlook on the web works on any device with a browser — useful if you are using a shared computer or a device where you cannot install apps. Bookmark outlook.office.com for easy access.
Common Issues
Outlook is asking for a server address
You do not need a server address for Microsoft 365. If Outlook is asking for one, you may have selected the wrong account type. Remove the account and start again — select Microsoft 365 or Exchange, not IMAP or POP3.
My password is not being accepted
Make sure you are using your Microsoft 365 password, not a previous email password. If you have recently changed your password, use the new one. Contact your IT provider if you need a password reset.
Email is syncing but calendar is not
In Outlook settings, check that calendar sync is enabled for your account. On mobile, go to Settings → your account → make sure Calendar is toggled on.
Outlook keeps asking me to sign in again
This usually means your organisation has a conditional access policy requiring re-authentication. It can also happen if your password has been changed. Contact your IT provider if it happens repeatedly.
